See how ConnectWise keeps their account database updated with live website URLs, accurate headcount and addresses, and custom segmentation and account scoring
Keeping your account database clean is the foundation of any successful outbound strategy. But for teams like ConnectWise, it's also a massive operational challenge.
So our team at Sculpted helped ConnectWise build a smarter workflow with Clay that updates their database with live website URLs, up-to-date address and headcount, account segmentation, scoring and tiering.
How it works:
Intake / Normalization
Website Status Check
Address & Headcount Enrichment
AI Segmentation
Scoring & Tiering
Watch the guided demo (or scroll down for a step-by-step breakdown) to learn how to customize this workflow for your business.
First, copy this template in Clay.
If you’re already a user, you’ll be directed to your workspace. If not, you’ll be prompted to create a free Clay account.
The interactive demos on the right will walk you through each step of this Claybook.
First, connect to APIVoid via HTTP API in the first table. You’ll need your own APIVoid account (credits are dirt-cheap; one key covers 1M hits), along with the API key, for this step to work.
Next, import records into the first table by filling out the first three columns: record ID (optional), company name, and company website domain. You can add records by typing them in yourself, uploading them via a CSV file, or automating it via a webhook.
Once you insert records, manually run the “Normalize Domain” column to kickoff the rest of the table. We keep this column on manual so bulk imports don’t fire the whole workflow by accident. Note: Only working URLs designated by APIVoid will get sent to the second table for further enrichment (and credit usage).
Next, in the second table, customize the account segmentation AI prompts (highlighted in gren). There’s two types of prompts: research prompts and decisions prompts. The research prompts find the company’s summary, its services, and target customers. The decision prompts use that information to segment accounts.
In our example, we’re using ChatGPT to help us segment accounts in three ways:
Customize both research and decision prompts to fit your industry and business.
Once customized, run the “Enrich Companies” column. This action uses Clay credits, so we set it to manual so you don’t waste money on poor-fit accounts. Additionally, we added a conditional formula so LinkedIn enrichment runs only when industry category is relevant.
Next, in the second table, customize the account scoring (0-100) and account tiering (1, 2, 3) criteria to fit your business (account scoring is a native feature in Clay). In our example, we’re weighing five criteria: URL health, LinkedIn presence, industry fit, country, and employees to surface scores and tiers.
Step 6:
Last, push updated and enriched data back to your CRM. Just add a Create/Update Object column for HubSpot or SFDC (or a different CRM), or just export to a CSV.
